We're glad [specific thing they mentioned] went well. [Your name/team member] really enjoyed working with you. Hope to see you again for [relevant next service].' Mentioning something specific from their review shows you actually read it. Mentioning a team member adds a personal touch. Suggesting a next visit plants a seed for repeat business.

Negative Review Responses

The key: stay professional, acknowledge their experience, and take it offline. Template: 'Hi [Name], thank you for sharing this feedback. We're sorry your experience didn't meet the standard we aim for. We take this seriously and would like to make it right. Please reach out to us at [phone/email] so we can discuss this directly.' Never argue, make excuses, or blame the customer publicly. Never reveal private details about the customer or their transaction. Other potential customers are watching how you handle criticism. Make it count.

The Tricky Situations

Fake reviews: Report to the platform first, then respond calmly: 'We don't have a record of this visit. Please contact us at [number] so we can look into this.' Vague complaints with no details: 'We'd like to learn more about what happened so we can improve. Please reach out to us directly.' Reviews about the wrong business: 'We think this review may be intended for a different business. We don't offer [thing they mentioned]. If we're wrong, please contact us and we'll help.' In every case, the response is for future customers reading the review, not just the reviewer.
